NextUp is a Windows 11/10 desktop application that provides reliable calendar reminders and meeting alerts for your Google Calendar events and Microsoft Outlook Calendars. Unlike browser-based notifications, NextUp runs natively on Windows, giving you multiple customizable alerts, alarms, voice announcements, taskbar countdowns, and instant meeting access via keyboard shortcuts.
NextUp offers several advantages over native Google Calendar notifications:
- Multiple alerts per event: Up to 5 notifications before events start and 4 before events end
- Visual taskbar countdown: See time remaining directly in your taskbar icon
- Alarm sounds: Gradual volume increase until dismissed (not just a quick pop-up)
- Keyboard shortcuts: Press Ctrl+Alt+M to instantly join your next meeting
- Voice announcements: Spoken time reminders ("Event starts in 5 minutes")
- Persistent notifications: Won't disappear until you dismiss them
Yes! NextUp is fully optimized for Windows 11 ARM64 devices (like Surface Pro X and Copilot+ PCs) as well as traditional x64 Windows 10/11 computers. It's one of the few calendar reminder apps specifically built for ARM architecture.
NextUp is extremely lightweight, consuming approximately 20MB of RAM during operation. It's designed to run continuously in the background without impacting system performance. You do not require Outlook or any other Calendar application to be open.
Yes, NextUp integrates directly with Google Calendar. It automatically syncs your events every 5 minutes and supports all your Google calendars, including shared calendars.
Absolutely! You can selectively enable or disable specific calendars from your Google account. For example, show only your work calendar while hiding personal or subscribed calendars.
Yes, NextUp integrates directly with Microsoft/Outlook Calendar. It automatically syncs your events every 5 minutes and supports all your Microsoft/Outlook calendars, including shared calendars. Outlook does not need to be open, as NextUp works independantly.
NextUp monitors connectivity and automatically re-syncs your events when your connection is restored. Events already downloaded will continue to trigger reminders even offline.
You can configure up to 5 notifications before events start (ranging from 10 seconds to 3 hours ahead) and 5 notifications before events end (10 seconds to 30 minutes before ending). Each notification can have a different alert type.
NextUp provides three five types:
- Alarm sounds: notification sounds that gradually increase in volume
- Voice announcements: pre-recorded spoken reminders (e.g., "Event starts in 10 minutes", or "Event ends in 5 minutes")
- Notification alerts: Simple sound notifications
- Popup alerts: The popup shows above all other windows
- Taskbar visual cues: the taskbar ICON changes colours, indicating the urgency, also displaying the time remaining
You can choose from a list of built-in alarm sounds and several voice announcements. Each of your 5 start timers and 5 end timers can use different sounds. Volume is fully adjustable from 0-100%.
Yes! When using alarm sounds, NextUp will continue playing at maximum volume (after gradual increase) until you manually dismiss the notification or the meeting time arrives. This ensures you never miss important meetings.
Yes! The latest version introduced end-of-meeting voice reminders. You can configure up to 5 voice announcements before your meeting ends, helping you wrap up conversations on time.
Yes! NextUp automatically detects video meeting links in your calendar events for Google Meet, Microsoft Teams, Zoom, and other platforms. It displays these prominently and lets you join with one click or keyboard shortcut.
Press Ctrl+Alt+M to instantly open the video link for your current or next meeting. This is incredibly useful when:
- Your previous meeting ends early and you want to join the next one immediately
- You need to quickly rejoin after a connection issue
- You want to join without clicking through the app
Yes! Hover over the NextUp icon in your taskbar to see thumbnail previews of upcoming meetings with quick action buttons to join video calls directly
Yes! NextUp's in-meeting countdown feature displays the time remaining during your current event. This can be enabled or disabled in settings based on your preference.
When NextUp detects overlapping meetings, it automatically disables the in-meeting countdown to prevent confusion about which meeting the countdown refers to. You can dismiss unwanted meetings or disable in-meeting countdowns to countdown to the next meeting instead.
Yes! The taskbar icon displays a dynamic countdown and uses color coding:
- **Red**: Event ending soon or urgent
- **Orange**: Event starting soon
- **Green**: Normal countdown

This visual indicator lets you glance at your taskbar to see remaining time without opening the app.
Yes! NextUp includes a powerful filtering system with two actions:
- Filter Out: Completely hide events from your list
- Mute: Keep events visible but suppress sounds and countdowns
You can create filters based on:
- Event title keywords
- Organizer names
- Event status (declined, tentative)
- All-day events
- Events without video calls
- Past events
Create a filter for "Event declined" and set the action to "Filter Out" or "Mute". This automatically hides or silences all declined events without affecting your Google Calendar.
Yes! Click the "Dismiss Meeting" button for any event to stop reminders for that specific event without affecting others. This is perfect for recurring meetings you occasionally can't attend.
Yes! NextUp includes a "Mute All Sounds" toggle that silences all notifications without disabling the countdown displays. This setting doesn't persist after restart, so sounds will resume next time you open NextUp.
Check these common issues:
- Ensure NextUp is running (check system tray for the icon)
- Verify you've successfully linked your Google Calendar account
- Confirm the event has reminders configured in your calendar settings
- Check that event filters aren't hiding or muting the event
- Verify Windows Focus Assist isn't blocking notifications
This is a common complaint about browser-based Google Calendar notifications. NextUp solves this by:
- Using native Windows notifications that stay until dismissed
- Providing alarm sounds that repeat until acknowledged
- Showing persistent countdown in taskbar
- Offering customizable alert timing (not limited to Google Calendar's options)
Yes! NextUp can be configured to start automatically when Windows boots. It minimizes to the system tray so it's ready without cluttering your desktop.
Yes! NextUp detects when your system wakes from sleep or hibernation and automatically refreshes your calendar events and restarts timers. This ensures you don't miss notifications after your computer has been asleep.
